These manuals are meant to provide the agency with a practical guide to every day workflows. It is a compilation from many different sources, with many years of experience. In addition, many agency owners and principals offered suggestions and ideas, and to them we say a big "Thank-You". You have helped other agencies tremendously by sharing your experience.


Most chapters in this manual contain SERVICE STANDARDS, which gives the reader an overall guide on how each process should be handled. They include ideas to reduce E&O exposure and increase efficiency while maintaining a client focus. It is meant to be used as a guide, to be added to or changed as the need fits, as many times there is only one person who handles many processes. Another agency may have a person assigned to just renewals & claims. Use the spaces provided to add specific guidelines in these unique situations.

Each chapter has specific computer steps to walk the agency through the process on the agency management system. Keep in mind that the computer steps are for several versions of the management systems, so they may vary slightly. Use the spaces provided to write in specific steps if your agency's version differs from the steps provided here. These are important to ensure consistency in the use of the management system. Many times employees find short cuts, or easier ways to accomplish a task in the management system. Any time the agency changes a process, it should be shared with other employees and documented. For this situation, a change procedure request form is provided in the at the end of this manual.

Procedures Manuals Support

Our procedures manuals were first written in 2002, and they have had many revisions as technology has changed. This manual is intended for independent Insurance agencies to be used as a guideline for day to day operations.  It is not a technical manual, nor does it try to replicate anything that System Vendors already offer.  It incorporates a Best Practices approach and is workflow oriented. The recommendations and Errors & Omissions Tips are industry approved.  We included simple core computer steps to get the user fast and easy guidelines.   It is written in a MSWord format with jump to features from the TOC.  It is meant to be used as a base to start with, and can be edited (although once opened, ICM no longer accepts responsibility for content : ).  Remember that there is no “cookie cutter” answer that fits every agency so edit as you please.
